Here is a simple timeline on how to guide your night:

6-8 hours before midnight:

This is peak time for set-up and taking your time to make the little details count. Have your vendors make their deliveries during this time. Have them work together and plan out the timing perfectly so they can have the perfect amount of time to set up without feeling rushed.

Getting your vendors in early will also allow any extra event staff to come in and get their areas ready. Take a walkthrough of the venue to make note of exits, bathrooms, and how you want to execute your planned layout of the space.

3-4 hours before midnight:

It’s show time! This is peak time for your guests to start arriving. This is when drink service should start, and any appetizers to start being served. Have music playing in the venue so your guests walk into the atmosphere you worked hard to create.

Make sure you have all your entertainment areas activated so guests can check them out the minute they walk in and have something to do. Think about having pre-countdown activities, such as toasts or giveaways at the top of every hour, to keep the energy high.

1 hour before midnight:

If it’s clean-up time, put your clean-up plan into action. Have a point of contact for vendors and staff to get directions from on trash collection and tear-down options. Create an end-of-party transition ambiance with a change in music and lighting. Have the event host do a last call for food and drinks as well.
